ADMINISTRATIVE TASK LIST
These are typical administrative tasks, but this is not a complete list:
- Keep track of supplies, order supplies as needed, stay within budget guidelines
- Keep Center tidy and organized; (a cleaning person provides weekly cleaning)
- Create (using Canva) or arrange for creation of event signage, brochures, letterhead, etc.
- Order items from printer (business cards, brochures)
- Keep Center windows current with JCIRA and other relevant event signage
- Occasionally create educational displays on the Center’s interior walls
- Stay in compliance with JCIRA’s security plan for evacuation, natural disasters, unwanted visitors, etc.
- Maintain log about who comes into Center, why, how many people, and create monthly report
- Help brainstorm and coordinate events at the Center
- Maintain JCIRA/Center calendar (only person who can update JCIRA calendar)
- Open, staff, and close the Center according to the open hours schedule.
- Greet all visitors to the Center and help them feel at home.
- Refer them to services as needed or to other staff depending on need
- Follow-up on if they received services, challenges
- Attend Staff and Center team meetings as scheduled (currently twice/month each)
- Set up for ESL classes weekly, order books/materials for ESL class, other admin tasks
- for ESL teacher as needed
- Tech support and set up for meetings and JCIRA staff and Board
- Maintain/update Mailchimp and Simpletext contacts regularly
- Create forms, for example, for JCIRA program participation
- Check [email protected] account daily and respond to or forward emails as necessary
- Prepare a written monthly report for the JCIRA Board
- Track volunteer hours for JCIRA volunteers; include this information in the monthly board report.
